2. Personal data we process

Depending on how you contact us, we may process:

  • your name, job role and company;
  • business email address and telephone number;
  • country, product interest, expected volume and commercial requirements;
  • the content and history of our correspondence;
  • limited technical and security data generated when the website is accessed, such as IP address, request time, browser information and server logs.

We normally obtain this information directly from you through the website form, email, telephone or subsequent business correspondence.

3. Purposes and legal bases

Business enquiries and sample requests

We use your information to respond to enquiries, assess product and supply requirements, arrange samples, prepare quotations and take requested steps before entering into a contract. The legal basis is Article 6(1)(b) GDPR and, for professional B2B communication, our legitimate interest under Article 6(1)(f) GDPR in developing and managing business relationships.

Business administration and legal compliance

If cooperation proceeds, information may be used to administer the commercial relationship, keep required records, protect legal claims and comply with applicable legal obligations. The legal bases are Article 6(1)(b), 6(1)(c) and, where relevant, 6(1)(f) GDPR.

Website security and abuse prevention

Limited technical data may be processed to deliver the website securely, diagnose faults and prevent spam or misuse. The legal basis is our legitimate interest under Article 6(1)(f) GDPR in maintaining a secure and reliable business website.

4. Required information

Fields marked as required are necessary for us to identify and respond to your enquiry. If you do not provide them, we may be unable to process the request. Providing optional information is voluntary.

5. Recipients and service providers

Access is limited to authorized Nature Exchange SIA personnel and service providers that need the information for the purposes described above. The website and its forms are hosted by Netlify, Inc., which processes website and form data on our behalf. We may also use email, IT and professional advisory service providers. Information may be disclosed to public authorities where required by law.

We do not sell personal data and do not use enquiry data for automated decision-making or profiling.

6. International data transfers

Netlify is based in the United States, and website or form data may be processed outside the European Economic Area. Where personal data is transferred internationally, the transfer is protected by an applicable European Commission adequacy decision, the EU-U.S. Data Privacy Framework, or European Commission Standard Contractual Clauses, as appropriate. Further information is available in Netlify’s Privacy Statement and data protection information.

7. Retention

Business enquiry and sample-request information is normally retained for up to 24 months after our last substantive contact. If a commercial relationship begins, relevant information may be retained for the duration of that relationship and afterwards for the period required by applicable accounting, tax, contractual or legal-claims obligations. Technical security records are kept only for as long as reasonably necessary for security, troubleshooting and abuse prevention, taking account of the hosting provider’s retention settings.

8. Your rights

Subject to the conditions in the GDPR, you may request access to your personal data, correction, deletion, restriction of processing and data portability, and you may object to processing based on legitimate interests. Where processing is based on consent, you may withdraw that consent at any time without affecting earlier lawful processing.

To exercise your rights, contact sales@balticforage.eu. We may request information necessary to verify your identity.

You also have the right to lodge a complaint with the Latvian Data State Inspectorate: www.dvi.gov.lv, Elijas iela 17, Riga, LV-1050, Latvia, pasts@dvi.gov.lv.

9. Cookies and external content

The initial website does not use optional analytics or advertising cookies. Website fonts and visual assets are hosted locally. Essential technical measures may be used by the hosting provider to deliver the site securely, process forms and prevent abuse. See our Cookie Policy for more information.

10. Changes to this policy

We may update this policy if our website, service providers or processing activities change. The current version and effective date will remain available on this page.
